TVE Project Coordinator

Role & Responsibilities
The role we are looking to fill will without a doubt continue to grow and evolve as the company does, but to get your feet wet, here is an idea of what you’ll be doing:
Project Management & Client Related
-
Assist with management of all event and purpose & engagement projects using our project management tool. You will get to understand the big picture of each project and make sure that we are hitting the milestones.

Providing regular project updates to clients

Sourcing vendor quotes
-
Site visits as needed
-
Client meetings as needed
-
Management of Asana, establishing work flows
-
Developing and updating project budgets
-
A variety of event preparation task
-
Day-of event management
Communications & Creative
-
Assisting with asset creation in Canva
-
Assisting with social media content creation
-
Writing blogs
-
Vendor communication
-
Event promotion (getting events on a variety of websites for maximum exposure)
-
Assisting with sourcing PR opportunities for client events
-
Support with our Elevate events, including promo kits, booking speakers, set up and tear down
Admin
-
Organizing and ongoing maintenance of our Google Drive system
-
Onboarding new clients, including contracts and Google Drive folder setup
-
Invoicing
-
Collecting client testimonials
-
Coordinating client appreciation gifts
-
A variety of administration and support including meeting minutes, email communications, booking meetings, follow ups and more)

Vendor and supplier vetting and acquisition, coordination, and management

Skills & Experience
While we are absolutely open to training and mentoring, some of the skill sets that would be an asset include:

Experience with project management and/or coordination

Caring communication skills
-
Experience with digital project management, social media, and scheduling tools
-
Proficiency in Google programs for document/spreadsheet/presentation development

Proven track record of being able to work both independently and on a team

A preoccupation with customer/client service excellence

Exceptional communication (written and verbal) skills

A high tolerance for a dynamic and ever-changing task list (we go with the flow)

Terms of Employment
This is a contract position, starting with 25-30 hours a week with the potential to work up to full-time hours. This position requires flexible availability to be present at various events and activities as required. Compensation will be based on hours worked and the rate will depend on experience and qualifications.
